FAQ (Frequently Asked Questions) For Fuel Dealers


Q. Will other oil dealers see all of my customers?
A. No. You will only be entering your delinquent or written-off customers. Because a subscriber must enter specific information pertaining to a specific individual in order to get a result, Oil Well™ does not permit a subscriber to view a list of consumers.

Q. What if I am searching for an individual and there is someone else at his or her address who has an Oil Well™ delinquent report?
A. If you are searching for a specific consumer and other people at that address have an Oil Well™(tm)consumer file, you will see that other people have a record who reside or resided at that address, but you will not be able to view their file. You will be prompted to do a new search using their name. This insures that you are getting information only for the person or company you are authorized to search for.

Q. Will I know if one of my delinquent customers is looking to go to another oil provider?
A. Yes. As soon as another oil provider accesses one of your client’s consumer reports, you will get an Oil Well™ Alert™ by email. This will give you the opportunity to contact the consumer and attempt to collect any outstanding payments and retain the business.

Q. If I access the consumer file of another provider’s customer will that provider know who accessed the file?
A. No. The Oil Well™ Alert™ maintains the anonymity of all report inquiries.

Q. Do I have to upload my aging files into the system or can I just perform searches?
A. All providers are required to upload their aging files at least once every 30 days. If a provider has not uploaded aging files by the seventh day, it will receive a warning upon login. If the provider fails to perform an upload by the 25th day, Oil Well™ will suspend its account searching ability until an upload is performed.

Q. Can I access anyone’s Oil Well™ report at any time?
A. No. Under the Fair Credit Reporting Act (FCRA), a credit report may be obtained only under one of the following conditions:
  • A "legitimate" business need in connection with a business transaction initiated by a consumer.
  • A consumer applies for credit
  • Prescreening offers of credit
  • By a court order or federal grand jury subpoena
  • Authorization of the consumer in writing
Q. Can someone else alter or remove my customer’s file?
A. No. Not even you can remove your customer’s file. Customer files remain in the Oil Well™ system for 7 years. You will be updating your customer files every time you perform an upload of your aging reports. If the customer is not included in your report upload, they will be tagged “resolved”. The entire history of their delinquent activity will also remain in their file.

Q. What if a consumer disputes the content of his or her Oil Well™ consumer file?
A. Oil Well™ will handle all disputes as noted in our website. All customers can contact Oil Well™ directly for such issues.

Q. If someone has an Oil Well™ consumer file in the Oil Well™ system, does that mean they cannot get oil from any providers?
A. No. Oil Well™ is a risk assessment system developed for home heating oil dealers to assess risk before extending credit to a potential customer. It is at the absolute discretion of the provider if they are willing to extend credit to a consumer.

Q. What if only a few oil dealers participating in the program in my territory?
A. It's FREE until it works for you!

Q. Will the database be used for anything other than the Oil Well™ risk assessment and customer retention objective?
A. No. Oil Well™ will never sell its consumer files to a third party.

Q. Is it safe to upload a consumer’s social security number?
A. Yes. Your upload files will contain your customer’s social security number but only the last four digits will be displayed when their record is retrieved.

Q. What security measures does the Oil Well™ system employ to safeguard the data that I upload?
A. Oil Well™ utilizes a 256-bit encryption SSL certificate during operation of the application. Our infrastructure is certified Cisco network architecture (a complete Cisco product). We utilize fully redundant Cisco 7500 redundant routers and redundant cards within the router at the core, state of the art 3550 L3 switch / routers / firewall as border routers and distributed 2924 XL EN switches. The network is fully meshed and redundant with 6 GIG line providers. Our facilities are multi stage key card access and use hand geometry readers to prevent card key theft. The facility also has a state of the art CCTV recorded 24x7. All visitors to the datacenters must check in and out of the facility. The goal is to provide maximum redundancy in every facet of the datacenter environment to facilitate 100% uptime for the entire hosting infrastructure.

Q. Will I be able to request new features for the Oil Well™ system?
A. Yes. We encourage providers to suggest changes and new features for the Oil Well™ application in order to make its use more beneficial for our subscribers. We have a dedicated staff of developers continuously working on the Oil Well™ application. You can find the Suggestion Form once you log in to the system.

Q. How long will a consumer file remain in the Oil Well™ database?
A. All reports remain in the database for 7 years.

Q. Do I have to download anything?
A. No. Oil Well™ is a Flash application that will work within your browser. If you do not have Flash installed, the system will prompt you to install it. The installation takes seconds. Most browsers already come with Flash installed.

Q. What if I want to input a customer into the system and do not want to perform a complete file import?
A. There are two ways to import customer’s records into Oil Well™. You can batch import your aging files or manually enter a single consumer record at any time.

Q. Can I see what my employees have been doing?
A. Yes. An administrator can see exactly what his or her employees have been accessing in Oil Well™. The exact date and time of every action is tagged by user ID.

Q. What if a consumer wants to see his or her Oil Well™ consumer file?
A. A consumer has the right to see their report. Consumer instructions for obtaining a copy of his or her Oil Well™ consumer report are provided on our website in the Consumer Relatons section.
